Parent Volunteers: The Key to a Successful Swim Meet
Our swim meets depend solely on the involvement and support of parent volunteers. Your participation ensures a smooth, efficient, and enjoyable experience for our swimmers and families. With 75 to 100 volunteer shifts to fill at a single swim meet, it is essential that each Seahawks family makes helping out a priority.
Our team REQUIREMENT for volunteering is that each family completes at least 5 shifts per season, with each shift typically lasting between 2 to 2.5 hours. Although we would much rather have your volunteer participation, there is a volunteer opt-out waiver available for $200, paid at the beginning of the season. This option is available during registration.
If you are unable to fulfill your commitment by the end of the season, you will be charged a $50 fee per missed shift, which should be paid following the divisional meet. No swimmer will be permitted to register for the following year if there are unpaid fees on the family account.
This requirement is for our COMPETITIVE team families. Families with ONLY Developmental team swimmers are exempt from the 5-shift commitment. However, a pro-rated commitment may be required should your swimmer be moved to the competitive team during the season.
We want summer swim to be a fun experience for EVERYONE, but understand that sometimes circumstances prevent families from being able to fulfill the standard swim meet volunteer positions, such as spouse deployments or health concerns. There is a job for everyone! Please contact the Volunteer Coordinator for available jobs outside regular meet times. We will help find the ideal job for your situation.

Volunteer During the Meet
Positions are typically divided into two shifts, and many roles allow you to watch your child swim. While home meets require more volunteers, we also have key roles to fill at away meets to ensure a smooth, safe, and fun experience for all.
Season Long Positions
The following positions are needed at each meet (some home meets only) for the entire meet and count as all of the volunteers shifts for the season. Please talk to a member of the board if you are interested in one of these positions.
HOME MEETS - Pool Set-Up and Take-Down
We ask every Seahawks family to contribute during HOME MEETS by helping with:
- Friday Night Set-Up
- Volunteering During the Meet
- Saturday Take-Down
Friday Night Set-Up
Before Saturday home meets, we gather on Friday night for pizza, then work together to prepare the pool. This involves moving tables, chairs, and umbrellas, setting up canopies, running electrical cords, and handling other last-minute details. While we typically complete set-up in 20-40 minutes, we cannot begin until the pool closes to Southlake members.
Saturday Take-Down
Take-down is the reverse of set-up and begins during the butterfly events and final relays. If your swimmer is competing in the freestyle relays, please stay to help put away canopies, clean up concessions, or return deck chairs to their places. Our board members have post-meet responsibilities, and every extra hand helps everyone get home—and to a well-earned nap—sooner.
